Use task lists for project work and checklists for repeatable reviews.

Create the right kind of list

You can also ask the assistant to create a task list. Describe what it should contain and attach relevant files as context.

  1. Select a project and open Lists.
  2. Choose New list.
  3. Choose Task list for work to assign and complete, or Checklist for a repeatable review.
  4. Name the list. For a checklist, choose From Scratch or From Template and complete the creation steps.

Try asking

Create a task list for reviewing the attached door schedule. Include missing fire ratings, inconsistent naming, and incomplete dimensions.

Add work and responsibility

  1. Open the list and use Add task or Add requirement to add an item.
  2. Open an item to add its description, assignee, comments, attachments, or supporting documents.
  3. For a checklist, mark whether a requirement is in scope for this project.
  4. Use Configure list to adjust the list where available.

Review progress

  1. Use Table for a detailed overview or Board to group work by status.
  2. Filter by assignee or status to focus the view.
  3. Move work through Not Started, In Progress, and Completed as it progresses.
  4. Open an item to read its comments and supporting information before marking it complete.

Add support for a checklist

Where available, AI Autofill Citations can suggest supporting documents. Choose whether to add to existing citations or replace them, then review the results. AI Assign Team Members can suggest assignees using the context you provide.

  1. Open the proposed citations and check the supporting passages.
  2. Check suggested assignees against the people responsible for the work.
  3. Use Export to prepare the checklist for download.
